Important Time Sensitive Announcements

VPK PROVIDERS:

REMINDER about VPK COE's

When submitting COE’s on Provider Portal please choose one option ONLY - upload COE via document library OR enter COE data entry via Children VPK COE’s. Please do not submit both options.

For VPK Non-instructional Days, please make sure you enter an N on that day for each child.


ANNOUNCEMENT


Due to Hurricane Irma, the Coalition offices will be closed Thursday 9/7, Friday 9/8., Monday 9/11 and Tuesday 9/12. We will reopen on Wednesday, September 13th unless you hear otherwise.

SR PROVIDERS:

Coding Closure Days on September SR Attendance Rosters:

The Coalition has decided NOT to pre-code "D's" on September SR attendance rosters as previously stated. This change will allow each provider to claim their own closure days based on their individual circumstances. However, the Coalition has only authorized the use of "D's" beginning 9/7/17. If you had to close your program due to Hurricane Irma you should enter a "D" for each child and for each day you were closed. For example, you closed your program on 9/8/17 to prepare for the storm, you were without power all last week, and you opened back up on 9/18/17. You should put a "D" on your roster on 9/8, 9/11, 9/12, 9/13, 9/14, and 9/15 for each child.

Coding Child Absences for Affected Families:

Beginning 9/7/17, if you have any children who were absent on a day(s) you were open due to Hurricane Irma you may claim that day(s) as an "E". This will allow the absence(s) to be counted as excused.

The Coalition will allow providers to claim "E's" for child absences on their September rosters beginning 9/7/17 through 9/15/17.

VPK PROVIDERS:

Coding Closure Days on September VPK Attendance Rosters:

The Coalition has decided NOT to pre-code "D's" on September VPK attendance rosters as previously stated. This change will allow each provider to claim their own closure days based on their individual circumstances. Please enter a "D" for a maximum of 5 days closed. Additional closure days should be noted with an "N".

You may notice that you are unable to give attendance on the first day of care for one or more of your School Readiness VPK wrap-care eligible children or a child may be missing completely from your attendance portal. If that is the case, please fill out a hand-written attendance roster and upload it into the Portal System in the REIMB_SR-Enrollment-Attendance Rosters for proper payment for the child(ren). –Thank you”

***REMINDER: As you receive your VPK Certificate of Eligibility (COE;s) please either enter them under the Children VPK COE listing or upload them in the document library in the Enrollment_VPK_COE Folder***



ATTENTION ALL PROVIDERS:

Please upload all reimbursement related documents including sign in/sign out sheets for validation to the appropriate folder via the Provider Portal. Please do not fax documents unless you do not have scanning capabilities. If you need assistance on how to upload documents, please contact Rhonda in the Reimbursement Department at 727-400-4475. We are trying to eliminate the use of the fax as much as possible. Your participation and cooperation are very much appreciated.
